4. WHY IS IT BEING COLLECTED?

The primary legal basis for processing your personal data is contractual, to allow us to carry out the business transactions agreed between you and the Company.

In addition, we may also process your personal data on the basis of our legitimate interests in carrying out marketing activities and developing new products or services. If we rely on legitimate interests as the lawful basis for processing and using your data, we will also complete a legitimate interests assessment to ensure we balance your interests with ours. We do not process your personal data for activities where our interests are overridden by the impact on you (unless we have your consent to do so, or we are required to do so by law).

We may also use your personal data where it is necessary for compliance with a legal obligation that we are subject to. If this is the case, we will identify the legal obligation when we rely on this basis.

However, we will only send you marketing communications if either:

  • you have specifically told us it is okay to do so; or
  • you are a corporate body and we are not communicating with a specific named individual (eg we are using an info@ email address or similar) and we believe it is in your legitimate interests to receive our marketing communications (you can still ask us to stop at any time); or
  • if you are an individual existing or prospective customer of ours who has previously bought or negotiated to buy a similar product or service from us to the subject matter of our marketing communications. If we are relying on this ground we will only do so where we gave you a simple way to opt out of receiving marketing messages from us at the time we collected your data, and where we have repeated that opt out option in all of our follow up messages.

In all cases, you may change your mind about this at any time by just letting us know. If you do opt out, you may still receive service related communications that are essential for administrative or customer service purposes.

We will never share your data with third parties for their own marketing purposes unless you have expressly agreed that we can do so.

5. HOW WILL IT BE USED?

Our main reason for collecting and using your personal information is to provide and improve the service, products and experiences that you expect from us. We use the information you share with us in the following ways:

  • To respond to queries and requests
  • To communicate with you and generally manage our relationship with you
  • To provide services and support for our products and services, including registering you as a customer, processing your orders, managing payments
  • As long as you’re happy for us to do so, to tell you about our other products and services from the Company.
  • To customise and improve the way you shop with us in the future; for example by showing you products that we think you might like on the website, which may include the use of data analytics
  • To allow us to improve your experience through customer satisfaction surveys
  • To administer and protect our business and this website (troubleshooting, data analysis, support and hosting of data)

6. WHO WILL IT BE SHARED WITH?

Most importantly, we never sell your personal information to anyone and only share it as outlined in this Privacy policy or when you ask us to.

We share your personal information with certain third parties who provide services on our behalf. They only have access to the personal information they need to perform those services. They are required to keep your personal information confidential and may not use it other than as we ask them to and always in accordance with this Privacy policy.

The third parties who provide services on our behalf fall into the following categories:

  • Those helping us to deliver products to you
  • Third parties that assist us with our marketing

We will also share your personal information if we are required to do so by law.

If we choose to sell, transfer or merge parts of our business or our assets, we may share your data with third parties relating to that purpose. If a change happens to our business, the new owners may use your personal data in the same way as set out in this policy.

We may transfer your personal data outside the UK to some of our service providers.

Where we do so we will only do so where the UK has issued regulations confirming that the country to which we are transferring your data ensures an adequate level of protection for your rights and freedoms, or where other appropriate safeguards are in place, such as binding corporate rules, standard contractual clauses approved for use in the UK, an approved code of conduct or a certification mechanism.

7. HOW LONG IS IT KEPT?

We only keep your personal information for as long as we need to, to be able to use it for the reasons given in this Privacy policy, and for as long as we are required to keep it by law. We may retain it for longer in the event of a complaint or if we reasonably believe that there is the prospect of litigation in relation to our relationship with you.

By law we have to keep basic information about you and any transactions we have had with you for six years after you cease being a customer e.g. for tax purposes.
